Give your team access to the event
Add event members by email, choose a role, and manage invitations separately from guest access.
Event members and guests have different jobs
Event members help operate the event through the panel. Participants join the guest experience to contribute photos. Sharing a guest QR does not invite someone to your management team.
Use Event Members when a colleague needs event access. Use guest access settings when someone should join as a participant.
Add a member by email
Open Event Members
Open the event’s member management area using an account authorized to manage members.
Select Add Member
Enter the colleague’s email address and choose the intended role.
Review the role before saving
The available roles are Admin, Editor, and Viewer. Choose only the access needed for the person’s task.
Check the result
An existing user may be added directly. Otherwise, an invitation is created and email delivery is queued. Check whether the member is Active or Invited.
Choose the right level of access
Use Admin for a trusted event administrator, Editor for someone helping edit or manage event content, and Viewer for someone who needs viewing access.
Workspace permissions and event state can also affect available actions. Check the controls shown to the member; an event role does not automatically grant workspace billing or organization management access.
Manage invitations and access
Check the email address and invitation state before resending. A queued email does not mean the invitation has been accepted.
- For an invited member, use Resend invite if another invitation email is needed. Delivery is queued.
- For an active member, edit the role when responsibilities change.
- Suspend a member when their access should be temporarily unavailable.
- Remove a member or cancel an invitation when it is no longer needed.
Let colleagues work with frames
Give the colleague appropriate event access, then have them open the collection’s frames area. Frame management can also depend on workspace management permissions.
The frame itself is assigned to the collection, rather than to the member. Guests contributing photos do not need an event management role for the collection’s automatic framing to apply.
