Prepare your welcome lobby
Create a welcome screen, let guests join, and choose whether photos can be collected before going live.
Welcome guests before playback
The lobby is the waiting stage before the event goes live. Connected displays show your welcome design and guest joining details while people arrive.
Opening the lobby starts the event’s collection window. Prepare the design in advance, then open the lobby when you are ready for that window to begin.
Customize the welcome screen
Stop playback before editing
As an event manager, open the event overview while screen playback is stopped. The welcome card is hidden for ended events.
Open the editor
Select Welcome your guests, then Preview & configure.
Personalize the design
Use the Happic Glow template, choose an accent theme, and edit the title and message. Choose whether to use the event cover.
Choose the participant display
Show guest names, show only a count, or hide participant information. Check landscape and portrait previews.
Publish when ready
For a draft or scheduled event, Publish & open lobby saves the design and opens the lobby. Make sure you are ready to start collection before selecting it.
Choose lobby upload behavior
Participant uploads are disabled in the lobby by default. The private collection option allows guests to upload while keeping those photos out of screen queues and participant galleries until the event is live.
Guests can access their own private uploads. When the event goes live, moderation and screen targeting still apply; going live does not bypass approval settings.
Check what guests see
If guest approval is enabled, accept waiting participants before expecting them in the welcome roster.
- Your welcome title, message, and optional event cover.
- The participant QR and Event code.
- Instructions for joining.
- Guest names, a participant count, or neither, according to your setting.
Move from lobby to live
Use the event menu’s Go live action when ready to begin. The existing Event code is preserved, so guests can keep using the same join details.
A stopped screen can show the configured welcome design. A playing screen with no eligible media waits for its first photos. Check playback state and moderation if the screen is not showing what you expect.
